We have about 180 voluntary organisations in a single London Borough. Many will be registered charities. Some charities will be companies and some simple trusts. Some organisations may be nfp companies (clgs) but not charities and finally some organisations may be unincorporated associations or one sort or another.
We want to create a table of all the organisations gathering together the following information, mainly garnered from:
a) Charities Commission Website
b) Companies House Website
c) The organisation’s own website
1. Constitutional Status eg. Company Ltd by Guarantee and Charity = CLG / Char; Charitable Trust = CT etc.
2. Turnover for last 2 years and margin + / -
3. Numbers of staff paid and unpaid (separated out if info given)
4. Number of trustees / directors.
5. What the user groups / client base looks like eg do they work with older people? Or families? Or …..?
6. Type and range of services provided eg do they provide a day centre open every day or sessional activities twice a week or home visiting or an advice line etc etc THIS IS NOT WHAT IT SAYS IN THE IN THE CONSTITUTIONAL DOCUMENT but eg website etc
7. Estimated number of clients
8. Geographical coverage (as suggested by website / annual report etc – NOT constitutional documents) – here we are particularly interested in whether they work in a specific neighbourhood eg Battersea or whether they cover the whole borough or whether they serve the borough as part of a service which is eg London wide or eg South West London
9. Sources of any funding in last two years - if possible with an indication of do they have council/NHS contracts; do they raise money from trusts/foundations (if listed which ones), do they generate their own income eg from charges for their service
10. Major capital assets especially if they appear to own their own premises
This is a task which requires a certain thoroughness and persistence. We are looking for the collation of information that is readily available. A familiarity with constitutional structures and the UK Charities Commission and Companies House would be helpful.
I think this is a couple of days work. It does not have to be completed in two days’ time. Please quote what you think you will realistically need to charge. (That does not mean that budget is not important to us).
This piece of work has twice been attempted by somebody on people per hour and both times the person has given up on the grounds that it is more "difficult / time consuming" than they realised. This is partly because the project does take some real time and effort and partly because it is easy to make it unnecessarily detailed and complicated. So let us discuss carefully the terms before taking it on.

Hi Jonathan,
I have been on similar projects and it really depends on how deep you want the freelancer to go in searching? Is it 10 minutes per organisation or half an hour or more in case it is difficult to find the data? That depends on the budget and efficiency by the freelancer, coupled with previous experience, and you got to trust that he/she has put in effort, so maybe an hourly job with screenshots of tracking serve the purpose better.
