The primary role is to provide highly experienced administrative support to a senior, industry leader who lives across several time zones (UK, continental Europe & California).
We’re looking for someone with strong business acumen, who is able to prioritise, solve problems at a moment's notice and remain calm under pressure. A flexible "can-do" attitude, overall drive for efficient use of time, strong attention to detail will be welcomed.
The main tasks of the role will entail:
• Diary management with frequent changes, thus the ability to understand and reprioritise tasks is key.
• Arranging travel itineraries.
• Arranging and coordinating meetings and conference calls across time zones.
• Managing and maintaining contact databases.
• Preparation of documentation required for meetings.
• Special projects, such as researching, updating and amending presentations.
• Reconciling expenses, including bookkeeping and submitting invoices.
• Monitoring upcoming deliverables to ensure timeliness and deadlines are met.
• Advanced skills in MS Outlook, MS Word, MS Power Point and MS Excel.
• Technologically savvy.
• Website update and social media capabilities a plus.
The following experience will be essential:
• Experience working with senior industry figures.
• Excellent organizational skills, confident and able to prioritize, identify and resolve conflicts.
• Able to work independently and multitask in a resourceful and positive way, being highly adaptable in dynamic situations.
• Proactive and have the ability to plan ahead and pre-empt potential issues. Good business judgement and problem solving skills.
• Communication skills: ability to present information and concepts effectively on the phone, through email (e.g. ability to quickly grasp and communicate pertinent points for a senior audience) and creating presentations (e.g. ability to pull together well structured presentations using charts and commentary).
• Handling and maintaining sensitive information with complete confidentiality.
• Calm and robust temperament; able to cope confidently and efficiently in a high level support role with appropriate attention to detail.
• Excellent organisational, project and time management skills.
• Able to be flexible with working hours in view of time zone differences.
Must have demonstrable experience working at similar level of professionalism.
