I handle different types of customer requests (for example: billing issues, account problems, product questions, returns/refunds, technical support), and over time I’ve developed my own way of deciding how to process each type. Right now, this workflow exists only as scattered notes and mental habits: I know what I do, but it’s not written down in a clear, step‑by‑step way. This makes it difficult to delegate parts of the work or to ensure requests are handled consistently when someone else helps me.
I need someone to take my existing notes and explanations about how I handle these requests and turn them into a clear, written support workflow that I can use internally. You will receive:
Any existing notes I have about how I deal with different request types (documents, bullet points, or rough diagrams).
A short recorded or written overview from me where I describe, in my own words, how I currently handle each main request type from start to finish.
A list of the main request categories I work with (for example: billing, account access, product usage, returns/refunds, technical issues).
Your work will include:
Reviewing all the materials I provide and identifying the key steps I follow for each request type.
For each request category, mapping out the full flow from “request received” to “request resolved”, including:
How the request is initially recognized and categorized.
What information needs to be checked or collected first.
The decision points (for example: when to escalate, when to ask for more details, when to offer a refund vs. a replacement).
The final actions taken (response sent, ticket marked as resolved, internal notes updated, etc.).
Writing a clear, step‑by‑step description for each request type, using consistent headings and a logical order (for example: “Step 1: Identify request type”, “Step 2: Gather required information”, “Step 3: Apply decision rules”, “Step 4: Send response and close”).
Highlighting any special cases or exceptions I mentioned (for example: VIP customers, repeated issues, high‑value refunds) and showing how they fit into the overall flow.
Organizing all request types into a single document with a simple overview at the start (for example: a list of all request categories and where to find each workflow).
Delivering the final support workflow as one document (Google Doc or Word file), structured so it’s easy to jump to any request type and follow the steps.
The final document should allow me to:
See at a glance how each type of customer request is supposed to be handled.
Understand the decision points and rules I use without relying on memory.
Train a future assistant or team member using a clear, written process instead of informal explanations.
