Hi,
I am looking for someone to put together a welcome pack for our clients please. Below is a template of the kind of thing I am looking for.
1. That All-Important Welcome Letter – welcome your new client aboard, explain what’s in the pack and point out any paperwork that needs signing.
2. A Service Guide – if the pre-amble to getting this new client on board was lengthy and detailed (and took place over the phone), then there’s a good chance that some of the information you conveyed will not have been properly absorbed. If so, then a guide to your services will be an important aide-memoire for them and if you tailor it towards their specific requirements it will prove invaluable in those early days.
3. Company Information – as well as a short potted history of the company, you could also include your opening hours, contact details for you and/or key staff and emergency contact information (if appropriate).
4. Feedback Questionnaire – feedback from clients is always beneficial so some kind of feedback questionnaire is a great addition to the welcome pack.
5. Testimonial Request – create a short form asking questions such as, ‘What made you decide to use our services?’ or ‘What problem did we manage to solve for you?’ and this will prompt them without bombarding them. Add some sample testimonials from previous clients to help them.
Payment Details – by detailing your payment terms and accepted payment methods, you’re more likely to alleviate any future misunderstandings.
6. Marketing Information – if you include a flyer, for example, in your welcome pack then you’re making your client aware of your full service range and not just the one they’re looking for right now. Discount vouchers are also a good idea, as are any audio/visual marketing materials. We have referral program that we want to mention.
7. Legal Paperwork – include a copy of your signed contract if you have one, as well as any such things as data protection and confidentiality agreements.
8. FAQ Section – giving your new clients the answers to some frequently asked questions is another resource which can prevent a barrage of phone calls or emails later down the line.
Not too detailed and long winded but just highlighting and capturing key points (if you know what I mean)
