Description of excel work: Excel Spreadsheet for Budgets
We are a company that produce 3D graphics / Animation and are currently using a very simple spreadsheet to track the value of projects when they come in and when they are invoiced. We'd like to expand this to allow the following:
The main summary sheet is where most of the day to day information will be viewed
Project Name
Project Category - We will put together a list of project categories that can be selected from. We would also like to be able to edit and add to the list
Project Value
Date of Quotation Sign Off
Authorising person at client side and how authorisation was given - email, verbal, written or free text
Person in company who secured the project
Within the client project sheet we will also need to account for additional costs that the client may incur during the course of the project. These costs would have to be placed into the particular project they relate to and we would again need to be able to list the following:
Amends / additions Value
Date of Cost of amends / additions Sign Off
Authorising person at client side
On the project sheet we would need to be able to see a running total of the project ie the original project cost plus all amends / additional charges that have been incurred.
At times we also partner with other companies and we have to pay out to them part of the overall project value. For this reason we would also want to be able to show what the amount is that we have to pay out to the partner company.
We also need to have some kind of indication to show when a project has been completed and invoiced. Perhaps this could be in the way of a choice of the following - Live, Completed and Invoiced. At times we also part invoice for projects on commencement so we need to be able to show this and we also need the spreadsheet to be able to show the value of this.
We'd also like to be able to have a column which gives the monthly financial target and as new projects come in it should show how much we are above or below target as the month progresses. It would be good if we could also keep a running total of this from year to date so that we can get an idea how far ahead or behind we are from our annual target.
We have our post our figures week by week and those are grouped within a month. Some months are 4 week months and others are 5 week months. Is it possible to have Excel automatically know when it it a 4 week month and when it is a 5 week month based on some parameters I can give to you? Also each month whether its a 4 week month or a five week month will show a running total value of projects that have come in during a particular month.
The spreadsheet should show a running monthly total of the value of projects so that we can see if we are on target for the month
Within the summary spreadsheet we should be able to easily see the following stats:
- Total Value of all Open Jobs
- Value of all jobs year to date
- Number of projects currently live
- Value of all invoiced jobs
- We should also be able to view projects by client
- Open jobs that are 6 months or older (this would be nice to have but not necessary)
OTHER REPORTS / STATS
We would like to be able to compare the following:
- Year on year sales figures
- Month on month sales figures
- The same month with a previous year
- Average length of time between a project stating and it being completed - we would like to be able to do this across all projects and be able to view this against specific clients too.
- Average length of time between invoicing client and payment being received
- Search past projects by category and be able to show the value of that category of projects by year, month or a particular client
VERY IMPORTANT
The spreadsheet must be easily adaptable / re-workable in future by any other person other than yourself.
As well as a sound technical knowledge we will also want to have someone who can create an aesthetically pleasing interface to it so that the spreadsheet is simple and easy to use.
