I'm looking for an organised and conscientious individual who enjoys creating processes and systems to follow in order to ensure that jobs are seen through to the end. I run a diverse collection of small businesses, from selling tanning solution to using and demonstrating technology for animals, and I'm sure there's someone more organised than me out there who can do the things I am doing right now better than I can - freeing up more time for me to get out and see my clients.
Most of the work will be online, but you need to also be able to make phone calls.
A mastery of English grammar and punctuation is absolutely essential, because the way you communicate reflects upon my business. Mistakes are human, but if you don't KNOW the difference between it's/its, for example, please do not waste your time (or mine) in applying.
I need help with the day-to-day jobs that pop up, for example:
- Keeping tabs on incoming shipments, advising a specified individual when they enter UK customs so that she can call and clear them. If the shipment is due into customs on a day when you are unavailable/not working, email this individual a reminder to check on it herself.
- Chasing up slow suppliers. My local printing company, for example, are currently 4 weeks delayed on delivery of a job! So you need to be comfortable with picking up the phone and reminding them that we are still waiting!
- Plan itineraries and book hotels. For example, I have an upcoming trip where I need to visit 9 farms across the UK. I have planned a route, but have not yet broken it down into days: so assuming I spend 2 hours at each farm (and for very large farms, allow longer) which farms will I visit on Monday, which on Tuesday, and so on, taking into account driving time between them?
- Sourcing, finding the best pricing for and ordering everyday items like bubble wrap when it is getting low across the two sites we send orders out from.
- Sourcing and getting samples of various sized boxes for packaging, gathering feedback on them from the two people who will try them out, and choosing the best quality and most cost-effective option.
- Keeping a record of conversations I've had with customers on Facebook messenger. Record the customer name, contact info (ask them for an email address or phone number if I haven't already), what was discussed, and if/when it needs to be followed up.
- Planning an event we will be running at the end of the year or beginning of next year, including pricing venues and then sending out emails or calling speakers to confirm their availability.
However, you need to be flexible and adaptable, as pretty much anything can pop up. If there's ever anything you do not feel is suited to your skill set, it's important you always communicate that to me. I'd rather have you focus on what you are good at than get bogged down and miserable doing something you are not.
I'd like to start with one day a week. Tuesday is my work from home day, so I can email you through tasks that pop up every Tuesday. So, a Wednesday might be a good day for you to work initially (but it doesn't have to be a Wednesday), as you can then follow up on whatever comes up on Tuesday for me. I'm always contactable by WhatsApp, too, so I'd never be out of touch.
If you are super efficient, really "get it" and I find that you are freeing up a lot of my time, we can quite quickly increase your number of days.
