Experience Level: Intermediate
Scope and request for quote for a presumed MS365 system but open for cheaper alternatives. We are currently on
1. Migrate all current and new users to Office 365, this includes calendars, email and software. (13 number)
2. Provide monthly cost per user for Office 365
3. Purchase and set up reconditioned physical Microsoft server (to be located in our office) to run virtual PCs via terminal server.
a. Processor / RAM capability should be for 15 concurrent users.
b. Hard drive must be min 2TB mirrored drives
c. Install 20 input switch for office phones and Ethernet PCs
d. Install fail over system for internet to switch between Eduroam to 4G.
e. Migrate data from current office server (linux) to new MS server and set up file access and privileges.
f. Access CWR owned and personally owned PCs, secure wipe current cloud files and install terminal server access.
g. Install fliecloud (https://www.getfilecloud.com/) or other suitable cloud software for director only access to server files via sync files via sync client and internet client on main server and clients on Director PCs.
h. Install server and email logging software for all employees. (Office 365 E3 plus watchguard or other firewall)
i. Install anti-virus on main server and PCs (if required)
j. Supply and configure 4 number new machines for terminal server access
k. Configure 7 number existing machines for terminal server access
l. Remote backup of server every day in non working hours.
4. Provide on-going support for the above system, includes email, calendars, software updates, anti virus.
Your Quotation Should Include:
• Software: Microsoft server 2015 edition with 15 licences (CALs)
• Hardware: Physical server in office with min 2TB mirrored storage and ability to run concurrent terminal services for upto 20 users.
• Office 365 Enterprise E3 (for email service with added monitoring and security)
• Watchguard or similar physical firewall with data loss prevention features (managed remotely by you)
• Itemised cost for MS terminal server and office 365 software plus any other licences required eg: Antivirus
• Centralised endpoint encryption for laptops holding local data plus on-going management of this service
• Remote backup of the server off site every 4 hours
• Contingency planning if the server breaks ?
• Offsite and onsite implementation (this needs to be done in one go)
• Monthly or annual costs for any on-going licences.
• On-going support and scope of supply (per hour / user / year depending on what you offer)
• Lead time from start to finish.

Existing IT infrastructure
● HP Tower Server (office based)
○ Xeon processor, 2 x 1TB data storage (RAID1 to provide 1TB total)
○ Linux OS (Serving company data)
○ Owncloud server also used for file synchronising
● Ubiqui Unifi Wireless Access point
● ~40Mbps Internet connecion Provided via Windows network sharing from connecion to Eduroam network at UWE
● Software:
○ Free an virus so ware throughout (Mixed)
○ Google apps (including Gmail)
○ Promevo
○ MS Office - installed locally
○ Owncloud Sync - Syncs with server, works over router in office and over internet remotely.
Current Concerns:
- 2FA is has not been implemented across the board for email, calendar, or cloud server
- Staff members are walking around with personal PCs, some of these contain valuable R&D data which is at risk from unintentional or intentional theft
- PCs / and Macs are not kept updated with the latest security patches or antivirus software
- Data on PCs is not encrypted
- There is no logging of staff activities or emails.
- Sync clients allow staff access to too much data which can easily be copied without trace.
- Unstable internet connection with no possibility of getting fixed IP
Current File sharing solution:
Currently we use Owncloud, which is hosted on our office server.
• This is backed up off site every 4 hours to a remote location.
• Most users have a sync client on their PCs, this has security implications.
• The Owncloud system works in the office over the router and is therefore fast compared with going over the internet, this is an advantage for speed and for times when internet is not available.
• To make the owncloud system work, we have provided a fixed IP external server which connects to our site server using a VPN router.
Current internet situation:
• No possibility of getting a line in for broadband.
• The office uses Eduroam which is fast , but is a single login on a PC, this is shared with the rest of the office.
• Eduroam is not always reliable and sometimes we have to switch to our 4G router.
