Job purpose
As an executive assistant/ secretary, you will work closely with a senior director to provide day-to-day administrative support, usually on a one-to-one basis. You will help the director to make the best use of his time by dealing with broad secretarial and administrative tasks.
Duties and responsibilities
* Miscellaneous tasks to support the Director, which will vary according to the sector and to the director’s remit, e.g. completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research work and producing business plans.
* Provide accurate and professional Translation of various types of documents from English to Arabic and from Arabic to English.
* Produce Project reports, WBS, SOW, Dashboards and all relevant Project management tasks.
* Maintain Project log files and updating Microsoft Project online using all data provided by project managers and on behalf of the Director to liaise with them.
* Research work and producing full outputs and reports on specific fields and subjects.
* Writing RFP, RFQ and RFI using the inputs provided.
* Preparing Presentations with professional layout and applying the relevant templates and use of Infographics/ motiongraphics and special effects are mandatory.
* Maintaining diaries, arranging appointments and typing, preparing and collating reports.
* Virtually organizing and servicing meetings (producing agendas and taking minutes).
* Implementing new procedures and administrative systems.
* Answering calls, taking messages and handling correspondence.
* E.filing.
* Logging and processing bills and expenses.
* Booking and arranging travel, transport and accommodation.
* Reminding the Director of important tasks and deadlines.
Qualifications
The candidate should have a minimum of Bachelor Degree preferably in Business Administration or in relevant field with minimum 5 years of professional experience.
it would be preferably if you have an up to date PMP / Prince2 Certificate, as well as fluent Arabic Speaker is preferred.
Skills Required
* Professional English Language reading/ writing and speaking is essential.
* Professional Arabic Language reading/ writing and speaking is strongly prefered.
* Microsoft Office professional knowledge particularly MS Project, PowerPoint and Excel are essential.
* Good communication, customer service and relationship-building skills.
* PMP or Prince2 certified.
* Organization and time management skills.
* Attention to detail.
* Negotiation skills.
* Assertiveness.
* Tact, discretion and diplomacy.
* The ability to be proactive and use own initiative: to see what needs doing and when.

* A knowledge of standard software packages and the ability to learn company-specific software if required.

you must be welling to enter a none disclosure agreement with the director which outlines confidential material, knowledge, or information that the parties wish to share with one another for certain purposes, but wish to restrict access to or by third parties. It is a contract through which the parties agree not to disclose information covered by the agreement.
Channel of Communications
you should provide telephone number with additional contact details such as email address and Smart phone application details in order to have sufficient level of communication during working hours.
Working hours:
the required working hours is 15 Hours per week virtually, the timing could be agreed upon first agreement due to geographical locations of candidates .
