I am looking for a virtual finance assistant to help me streamline my invoicing and payments process. I currently handle all of the invoicing, payment chasing and other operational aspects of my PR agency and I am looking to appoint a trustworthy, professional and friendly person to help relieve some of the pressure on myself regarding making sure clients make payments into the account by their respective due dates.
I do not envisage this job being more than a few hours per month, but is ongoing and obviously could well grow as the business does and more time is required to manage the various accounts.
This is a new position and I am open to discussion on the best way forward but I would perceive the role/process to be as follows:
- I will raise invoices for our clients via our Zoho invoicing dashboard, I will also mark them off on Zoho as paid as I receive them.
- You will have access to our Zoho account and once a week (or whatever you suggest is best), you go in and check the status of invoices due for payment or overdue
- You will send me an email asking with a list of due or overdue payments and I will check the bank account and provide you with a status update on these payments incase I have missed off any, or I have had a discussion with the client with regards to a new payment date.
- You will mark any paid invoices on the Zoho system, make a note of any payment date changes and also issue reminders to those which are due for payment or are now overdue.
- I will issue you with a company email address to use for chasing up payments and we will prepare templates for use when chasing various stages of due or overdue payments.
I am looking for an experienced finance individual who is perhaps conducting this role for other businesses at present. Ideally this person will be freelancing full time, as it may prove difficult managing chasing up of clients or correspondence with them if you are working full time and doing this in evenings or weekends.
If you would like any further information please let me know. I am open to both hourly rates and fixed prices, but please indicate exactly what you are offering and for what price so that I can evaluate proposals.
The budget I have put on for this role is irrelevant as PPH insisted I put in something in so £50 is just a placeholder.
