Description
This is not a full-time role, but we are wanting consistency by using the same person. We are looking for someone we can call on as required to help with practical systems support, staff training, workflow improvement and AI/automation setup across our business.
About the support we need:
We are currently reviewing how we manage enquiries, quoting, sales orders and internal workflows across our systems. This includes work around Pipedrive CRM, Microsoft 365, Microsoft Copilot, ChatGPT and possible AI-assisted quoting or CPQ-style processes.
One specific project involves assessing how we can improve our quoting workflow, including how information may move between Pipedrive, our existing business management system and other tools. We need support with API-related discussions, workflow mapping, AI agent setup, user training and practical implementation.
Essential Key skills required - The ideal person will have strong hands-on experience with:
Pipedrive CRM setup, configuration and user training
Microsoft 365, including Outlook, Teams, SharePoint, OneDrive and general business productivity tools
Microsoft Copilot and Copilot agents
ChatGPT and custom GPT / AI agent configuration
Setting up practical AI assistants or agents for business users
CRM process improvement and sales workflow optimisation
Supporting non-technical staff with clear, practical IT guidance
Helping businesses make better use of existing software tools
Experience with quoting systems, CPQ tools, API-based integrations or ERP/business management systems is essential.
Typical tasks may include:
Helping us improve how our team uses Pipedrive
Training staff on better CRM usage and sales pipeline management
Setting up AI agents in Microsoft Copilot and ChatGPT
Advising on how AI can support quoting, sales admin and internal processes
Reviewing current workflows and suggesting practical improvements
Supporting Microsoft 365 users with day-to-day productivity improvements
Helping define requirements for integrations, quoting tools or CPQ solutions
Working with internal team members and external software providers where needed
Producing simple guidance notes, templates or training material for staff
The type of person we are looking for:
We need someone who is practical, commercially aware and comfortable working with business users who may not be technical.
You should be able to listen to how we currently work, understand the business problem, and recommend sensible, workable solutions rather than overcomplicating things.
You must be confident working independently, but also happy to explain things clearly to staff and management.
You must be patient, and willing to help staff by talking through step-by-step what to do to set up AI agents, and assist them along while they do it themselves.
Important requirements:
Please only apply if you have genuine hands-on experience with Pipedrive, Microsoft 365 and both AI tools (Microsoft Copilot and ChatGPT).
We are especially interested in someone who can help us turn AI tools into practical business support, not just talk about AI in general terms.
Engagement:
This will be on an ad hoc subcontract basis. Work may vary from short support sessions and staff training through to project-based assistance with CRM, quoting workflows, AI agents and system improvements.
