A PA to You provides a Virtual Personal Assistant service to SMEs. A PA to You Ltd is looking for Virtual Personal Assistants to help cover the following areas of work, which will be on an ad-hoc basis as and when required:
Office cover, administration support, diary management, typing, digital transcription, customer service, sales assisting with preparation of quotations, sending client quotations and following up quotations, producing marketing material, email marketing using Mail Chimp, social media assistants, diary management and event management.
Virtual/On-site Personal Assistant
• On an ad-hoc basis as and when required.
• Home based.
• Self-employed.
• Home office set up is required.
Key Requirements
• You must have strong attention to detail, with the ability to type and format documents accurately.
• You must possess a pleasant telephone manner, whilst maintaining a diplomatic and courteous approach in all forms of communication with our Client.
• You must be able to develop and nurture a professional relationship with our Client on behalf of A PA to You.
• You must take ownership of tasks assigned to you either directly by our Client or by A PA to You and ensure that deadlines are either met, or you have contingencies that are in place.
• You must take responsibility for maintaining your own equipment; we take ownership of all Client files and data (stored in the cloud).
• You will be required to report on a weekly basis, especially on projects/tasks, which are ongoing.
• There will be attendance of a quarterly meeting held.
Working Arrangements
• Hours of work will be carried out normally Monday to Friday during core business hours (8.30am - 5.30pm).
• It is not often, but there could be evening work involved particularly for customer service roles between the hours of 6.00pm – 9.00pm.
• Weekend work might be required on occasions.
• Hours are agreed prior to commencing work as an Associate
• Self Employed: You will need to be registered as a Sole Trader at least and will be responsible for submitting your tax returns on a yearly basis.
• You will submit invoices on a monthly basis, to enable accurate client billing.
Qualifications
• Ideally you should have at least 3 years' experience in an administrative/customer service role.
• You must have excellent typing skills (at least 45 WPM), you will be required to carry out a test.
• You must have excellent knowledge and understanding of Microsoft Word, Excel, PowerPoint.
• You will be technically astute and able to grasp new software/applications extremely easily.
• A quiet area which you can work from, your home office area must have a reliable and fast home broadband connection, which is ideal for being a Virtual Personal Assistant.
• You must have access to a password protected computing device.
• You should be polite, have a clear telephone manner.
• You must be reliable, honest and have complete integrity.
• You will be professional and committed at all times.
• You must have excellent communication skills – both verbally and electronically.
• You must have the ability to use own initiative and be prepared to work alone in a remote environment.
• Ideally you will have great business acumen.
• You will be flexible and with the ability to adapt to situations.
• You will be able to multi-task.
• You must have excellent attention to detail, proof reading and checking and re-checking your work and have a sense of urgency.
• You must have a working knowledge of cloud based software and systems.
