I’m looking for a PA with project managing skills, independent thinking and strategic vision.
This role is supporting a professional German entertainer based in the UK who also tours in Germany, Australia, Southeast Asia and other parts of the world for a considerable part of the year. He needs to focus on the creative side of his career, and is in need of a right-hand left-brain person to take care of the organisational side of it all.
This would not only be about individual tasks, but would also require a forward-thinking, proactive, big-picture approach. This person would know his projects, diary, and deadlines and would: 1) Keep projects and deadlines in check and never let anything fall between the cracks; 2) break down projects into smaller tasks independently and fulfil these tasks; 3) liaise with other collaborators and contacts, e.g. agent(s), graphic designer, producers, festival staff, printers, publicist, venues, accountant etc. As he will also be performing in Germany, it’s certainly a plus if you have good spoken and written German, however this is not absolutely necessary.
Weekly hours will vary – for the time being around 3 - 5 hours per week at the most - but work will be continuous, and hours are likely to increase in the future.
Key experience and skills:
Excellent time and project management skills
Experience in managing projects, preferably in the creative field, and keeping a creative person’s diary
Excellent organisational skills: able to keep all details in check while also seeing the big picture
Experience in coordinating collaborators
Strategic vision, forward-thinking, goal-oriented, confidence, and a passion for proactivity
Effective research skills
Very good writing skills (especially marketing copy, sales letters, etc)
Friendly, outgoing telephone manner; must enjoy phoning people/institutions
Preferably experience in the arts/entertainment/comedy sector
Computer skills:
Word
Photoshop
Updating websites (mainly Wordpress) and social media
Excel
Filling in web forms (e.g. entertainment listing forms, visa applications, etc)
Good spoken and written German a definite plus
Responsibilities include:
Keeping his diary, finishing organisational and promotional work before deadlines loom, and reminding him of upcoming tasks or deadlines in time
Booking travel and accommodation
Having posters and flyers etc printed and delivered to venues
Filling in registration forms
Updating website, online profiles, and social media
Occasionally making design adjustments via Photoshop
Liaising with agent(s), graphic designer, producers, festival staff, printers, publicist, venues, accountant etc. whenever necessary
Entering my shows in offline and online magazine listings
Writing business emails
Outbound and inbound telephone calls
Web research
