Experienced event manager required for an evening panel discussion and drinks reception. Overall requirement is to manage the event on behalf of the organisers. Further detail below.
Event details:
- Date: 2 March 2011
- Times: 6.30 – 11pm
- Venue: 4 Star Central London Hotel
Main requirements:
In advance
- Gain overall understanding of event audience and ticket types
- Understand organisers’ objectives and definition of a successful event
- Understand event sign up process
- Create event planner
- Create event preparation timeline
- Order and collect speakers gifts
- Print out delegates list
- Ensure mechanism to receive payments at door, e.g. receipt book, petty cash
- Create delegate badges
- Create delegate event programme
- Oversee printing of delegate event programme
- Attend a planning meeting with the event organisers
- Conduct a walkthrough at the venue with the event organisers and assistants
Will pay extra commission for pre-event delegate sign-up.
On the day
- Co-ordinate speaker refreshments
- Arrive in advance (say 5pm)
- Check room set-up
- Layout delegate packs
- Receive deliveries
- Manage suppliers
- Act as contact person for the hotel for the night
- Ensure presentation equipment (laptop, screen, PA system) is set up and working
- Oversee delegate registration process (there will be people to sign in guests)
- Liaise with hotel re. room temperature, etc
- Oversee set up of drinks reception
- Ensure smooth running of the drinks reception
