Hello,
I run a small IT support company in London and I am looking to hire a virtual assistant to help me with my administration tasks. The initial focus is to find someone to help me with my monthly invoicing. However, I imagine that if I find the right fit, there are a number of other tasks that I would eventually like to delegate.
What I am looking for is quite specific so I have written out a list of requirements. Also, as a small business in a difficult economy, value for money is one of my prime considerations.
Here\'s what I\'m looking for:
- someone reliable and trustworthy with a good head for figures
- someone who can be available to process my monthly invoices on the first day of every month
- I use a website called www.getharvest.com to log all hours and expenses, and this would be the main tool that my assistant would use to generate invoices. My preference is for someone who is already familiar with this system. Failing that, I\'d expect the assistant to learn the ins and outs of this system fairly quickly and become very proficient with it.
- I am willing to provide some training, provided that I am given some reassurance that the successful candidate would be around for a while.
- A high standard of English is mandatory, as all of our communications will be carried out remotely and there will be little room for error or misunderstanding.
I have a backlog of invoices to prepare for work done last year, so I am keen to find someone quite soon who can help me with this initial project. Once the backlog has been cleared, I would like to set up a system whereby every month, on the first of the month, I send a list of my clients that need to be invoiced, and my assistant prepares those invoices for me to review.
I\'m not yet sure how many hours a month I would need, but would estimate that once a system had been established, it would probably take around five hours a month to create all the necessary invoices. This figure is a rough estimate, but is a good basis for a quote.
As I mentioned earlier, once the invoicing is up and running smoothly, I anticipate that there are likely to be other administrative tasks that I could pass along.
