Hello,
We are a small flatsharing business based in London in need of a virtual receptionist who works from home but is able to answer our calls for us. On average we get around 8 calls a day, around 210 a month, and each call lasts on average around 2-3 minutes.
I need someone who works from home perhaps doing other admin work for other companies, who will be able to answer our calls swiftly, and either take a message for us or book people onto any viewings we may have for properties, or answer any questions that they may have.
You can be based anywhere in the UK or other English speaking countries, but you need to have very clearly spoken English and be able to work UK hours. You need an unlimited internet connection because I will supply you with a VOIP phone where calls can be received and made over the internet.
Full training can be provided, so we would ideally like you to be able to come to London for a day or two in order to meet the team and understand how our business works. Then the rest of your work will be from home, which is why I think someone in the UK is better suited. However, we will still consider other locations if you have plans on visiting the UK for a holiday!
We will need you to cover all calls Monday to Friday from 9am till 5pm. But if you are interested in answering any evening calls we get or weekend calls then we can also direct those to you. But this is not a deal breaker. Last month we received 46 after hours calls with an average of 2 calls a night (around 2-3 minutes long). So not that much.
Your will need to document the details of all call - who it is, date / time of call, category of call, etc. I will be able to supply a small Access database that you can use to capture this information.
You will also need to gain some general London knowledge, i.e. which of our properties are in the city, which are in the east, which are in the west, and you will need to keep an eye on our website for the dates that rooms are available so you can advise our clients. You will have to learn which rooms are suitable for couples, and which can only be occupied by single people. You will need to learn which properties have parking facilities.
So there is a fair amount of our business you would need to learn. To start with we would need a commitment of at least 10 hours a month, split up by taking calls when they come through. But we have a lot of admin to do that we would like to start handing over to the person who takes on this role. So it could turn into 10-50 hours a month. This role is suited to someone already working from home, perhaps with other clients too.
Please can you get in touch explaining why you feel this role would suit you, how many hours you could offer us each month/week and what is currently taking up your time.
Please only apply if you are a serious and hard worker. You will need to be able to get things done with no supervision, so you have to be reliable in order to stay with us.
