Hi I need build a quick Access database to manage my Clients, time recording and Billing.
The sketches should give you a quick idea what I want it to look like and what I need it to do.
I need to be able to manage clients [blue colour] there I add client details such as name address email mobile etc and can edit delete clients etc
Then I need to be able to record time/costs against each client [orange colour] here I should first select the client. Once selected the system will show any previous entries for that client as well as show how much money is here on account (deposit) [this is added under Money Managemtn Green] how much running total I have for that client (WIP) and how much I have invoices the client in the past. Time is entered on a minute basis and calculated on an Hourly rate which I should be able to configure or simple adding an amount next to description. When I press the organ get button a pop up would show to set the date for the task (default is today's date) and then enter description of what was done and then enter time or amount.
I then need to manage money in and out [Green colour] here I should be able to select the client and again see the monies held on account the WIP and the billed. In the bed below I should be able to see an invoice history for the client as per the sketch showing when it was invoices how much has been paid the outstanding balance as well as the due date. The defau;t page will be the invoice page where I will simply record the date on which I issued the invoice the amount and when it's due [default is 30 days]. The other buttons will be for similar forms where I can add deposits for clients to be shown on the Account boxes in other forms (again this will show total as well as history of when deposits where paid). The final page on the green section will be pay invoice. This allows me to see all invoices for the client and when I press the button the pop up will come out and ask when paid and how mud paid.
The final section not drawn out is the reports as these will be easy once data is re order. These should be:
Time today showing which clients and what done plus total time and money
Invoices issued all invoices issued -I can select period
Invoices overdue - I can select time period
Invoices paid- I can select time period
And a yearly summary for each month show its how much WIP Invoices issued, Paid and `outstanding
