WordPress / WooCommerce – Formulário Automático de Devoluções

We are looking for an experienced WordPress / WooCommerce developer to create a modern and automated Returns / Right of Withdrawal system for an established Portuguese e-commerce website.

Existing setup

The website already has:

WordPress
WooCommerce
Elementor Pro
Fluent Forms
SMTP email delivery

Fluent Forms is already installed and should preferably be used.

We are not looking for a new website or a system built from scratch.

Required Customer Flow

The process should be very simple:

Customer clicks “Return an Order” → enters order details → selects the product/request → submits the request → receives automatic confirmation.

The form should include:

Customer name
Email
Telephone
WooCommerce order number
Product(s) to return
Quantity
Type of request:
Right of Withdrawal / Return
Damaged or incorrect product
Warranty / Product fault
Conditional fields depending on the selected request
Comments
Photo/file upload when relevant
Privacy/data-processing acknowledgement

The customer should not be required to provide a reason when exercising the Right of Withdrawal.

Automation

After submission, the system must automatically:

Record the request in WordPress/Fluent Forms.
Record the exact submission date and time.
Generate a unique return/request reference, for example: DEV-2026-00125.
Send an automatic confirmation email to the customer.
Include the request reference and submitted information in the customer's confirmation.
Send the complete request automatically to our company email.
Keep the submission available in the WordPress administration for future reference.

We want to have a clear history of every return request.

WooCommerce Integration – Preferred

Ideally, when the customer enters their WooCommerce order number + email address, the system should validate the order and allow the customer to select the product(s) belonging to that order.

If you can implement this securely within the proposed budget, please explain how in your application.

Design & Mobile

The form/page must be:

Modern and professional
Very easy to use
Fully responsive
Excellent on smartphones
Consistent with our existing website design
GDPR/privacy-conscious
Protected against spam

A clear “Request successfully received” confirmation should be displayed after submission.

Important Technical Restrictions

Do not update or modify any existing plugins, theme or integrations without our prior approval.

The work must not interfere with:

WooCommerce checkout
Payment gateways
Existing SEO
URLs or metadata
Google Analytics / GA4
Google Tag Manager
Google Ads tracking
Product feeds
Existing product pages
Existing integrations

Do not install additional plugins without our approval.

Testing Required

Before delivery, please test:

Desktop
Smartphone/mobile
Form validation
Submission
Customer automatic confirmation email
Company notification email
Request reference
WordPress submission storage
Conditional fields
File upload where applicable
Spam protection

We will perform a final test before approving the project.

Access & Security

A dedicated temporary WordPress user will be created for the selected freelancer.

Do not request another administrator's credentials.

Budget

Fixed budget: approximately €100.

We may consider a slightly higher proposal if it includes a well-implemented WooCommerce order validation/product selection integration.
