General information for the business: We are trying built a big client database

Description of analysis: I run an Estate Agent, I need a database that can do a number of things to save time and effort and make collating data more efficient with minimise risk of human error.
First part of the database should
- Enter a URL and be able to detect the fields that I need collated.
- The website is www.gumtree.com which is a classified Advert website which , the URL being entered will be from a specific from a specific advert for example http://www.gumtree.com/p/1-bedroom-rent/fabulous-newly-renovated-fully-furnished-1-bed-flat-in-mornington-avenue-west-kensington-w14-/1119175369
- The fields that should be detected and collated should be the following
1. Name
2. Contact Number
3. email
4. Advert Title
5. Price
6. Date Available
7. Number of Beds
8. Posted Date
9. Description
10. Location
11. Using the Google Map Location on the map tab approximate address and postcode of the property
12. Website URL
Each Advert will now be known as a landlord.
Second part of the database should do the following
- Have the ability to have multiple users with secure password entry system, with certain users having restricted rights to what they can and cannot do.
- Normal users will not have the ability to delete any landlords or print any page.
- The administrators should have the ability to check when users logged in, exactly what time URL’s were entered, how many urls were entered, have be ability to print this to manage performances, be abloe to see how many users follow ups are overdue.
- Normal users can see a box to see how their colleagues are performing against themselves.
- Users should be able to write a note on each advert which outlines when the person was called, the outcome of the call and set a reminder when the next follow up is.
- The follow up should automatically be put in Microsoft Outlook Hosted exchange Calendar.
- As you log in to the portal/database the home screen should state which landlord follow up is due, overdue and landlords that are coming due in the next week.
- Users should be able to tick if a ‘Hot’ ‘Warm or ‘Cold’ button to state if they think the lead is very good, okay or needs convincing.
- Users should be able to search landlord using a number of different search criteria’s including if the Landlord is hot, warm and cold categories.
- Each landlord should be given an automatic Unique Ref number for ease of search.
Recommendation if capturing the images on the webpage will reduce the speed of this database.
THSI DATABASE SHOULD BE AT IS FASTEST CAPACITY AT ALL TIME WITH BEARING IN MIND THAT THE DATABSE WILL BE COLLECTING ATLEAST 70 DATA ENTRIES A DAY FOR THE NEXT 5 YEARS.
