Description
We need to migrate a very simple server configuration and have someone check that we have sensible / appropriate protocols in place for how we are managing our data (processing, security, back up). Our server’s role is to host data that we produce and to shortly to host 3rd party data that we will be importing via FTP. This data is then made available via a web-based BI application. Access to this application is strictly private for employees only.
We need to directly access our server in order to perform core tasks in the SQL & BI etc. In addition, we also want to conduct simple server management tasks such monitoring capacity and switching the server on & off when it is not in use, to avoid unnecessary running costs. Because of this and the fact that we envisage making more use of the Microsoft ecosystem, we are interested in migrating to Azure.
We currently use an IT agency, but they are not focused on Azure and therefore we are mismatched. As a result, we are now seeking an experienced freelancer, with the right skills to help us to manage a migration and also to provide periodic support going forward. When we leave our current agency we will also need to migrate O365. Therefore, we are looking for someone who is expert (certified) in O365 and Azure as a minimum. Other areas of expertise that would be of interest are SQL, PowerBI and Dynamics CRM, although we currently have some support in these areas.
At present we have three servers hosted with an IAAS provider: a Web Server, an SQL Server and an FTP server (which is never used). With this migration we would like to initially host both the database and the BI application on the same server.
A. Required server configuration:
As an initial step we would like a walk through / talk through of the MS Azure pricing calculator so that we can identify / confirm required features and research potential requirements. However, in advance of this, our headline requirements are as follows:
1. Windows Server 2016 (desirable - we are currently on 2012)
2. SQL Server version 2016 SP1
3. Disk space of 200GB (appropriately partitioned for Windows, SQL Server and current BI application)
4. x4 processors (currently using Intel Xeon CPU E5-2650 v2 @ 2.60GHz)
5. 32GB memory
6. Storage provisioned as follows:
- Database: (Parent ‘Master Database’ & Child ‘Client Databases’) 250Gb
- Feeder Files: (ETL data files) 250Gb
- Local Back Up: (full copies of everything) 2,000Gb
B. Migration plan:
1. Server configuration: We need assistance with this
2. SQL database migration: We use an external ‘database custodian’ (contractor), who can manage this
3. BI application migration: There is an internal ‘staff operator’ who can do most, but will need guidance
4. API migration (for processing external data feed): We need assistance installing this, but have documentation on how to accomplish
5. Backup plan: We need this to be reviewed. We currently have 1Tb storage available in O365 / sharepoint and unlimited storage in Box.net against a current backup storage requirement of 200Gb. We would like to understand how we might utilize this capacity as remote storage / back up for our server – and importantly, how this could be maintained and managed. There potential to leave this with our current agency, albeit our preference is to find a single ‘go to’ partner.
6. Migration of O365 remote support access: As above.
C. Other requirements:
1. Basic documentation to reflect the new infrastructure, once configured. Specifically: a description of how our data is hosted including security provisions (for sharing with clients); plus, direction for how to access the server, run simple checks and manage server on / off time
2. Automated back-up regimes need to be established for both local & remote back up
3. Automated daily status notifications set up (as email)
4. Non-urgent / ad hoc ‘hands on’ support with server management (performance optimisation & periodic upgrades)
5. Urgent maintenance support to assist in the event of a failure (basic SLA needed)
6. Assistance & advice for activating Active Directory for a team of 7 (within O365)
7. Other occasional ad hoc O365 / general IT support for a small team (i.e. from possibly assisting with connecting PowerBI in O365 to the SQL database to helping with various Exchange & Outlook requirements)
Extra notes: Please provide a short breakdown of cost estimates (we appreciate that only rough costs are available at this stage) as follows:
Project costs:
• Executing the server migration plan (re: B.1. to B.4. & C.3.)
• Setting up remote backup to OneDrive / Box (re: B.5. & C.2.)
• Establishing management of O365 (re: B.6.)
• Providing documentation (re: C.1.)
Monthly costs:
• Azure hosting fee (based on A.1. to A.6.)
• O365 for x7 people (or per person)
Hourly costs:
• Urgent maintenance & support (+ SLA)
• Non-urgent maintenance & support (+ SLA)

We are an IT services consultancy based in Guildford, Surrey and specialise in SharePoint / O365, SQL and BI as well as web apps development.
We are Microsoft Azure partners and as such host a number of solutions for our clients on the Azure platform.
I have only read through your detailed requirement this morning, but given the depth of detail you have provided, I would like to spend a couple of days to write up a full proposal for you with costs and solutions.
