Build a spreadsheet

I have an alarm company and we do our own design and drawings for the systems that we install. This presents a problem, when i design the system I know what to look for and what needs to be done. The person that then transfers the information to CAD gets lost in the details because they are not well versed in the actual systems that we install. I want to develop an intuitive spreadsheet that i can fill out before the job and then give said spreadsheet to the draftsman so that most of the leg work is done. For example, if i have certain type of alarm control panel it will tell them to use the associated detail to put on the drawing.
