Project Title: Freelance Property Administrator / VA – Part-Time & Ad Hoc (10–15 hrs/month)
About the Role
We are looking for an experienced, UK-based property administrator to provide ad-hoc support for a well-established portfolio of 16 properties (12 single-family buy-to-lets in Doncaster and 4 HMOs across Doncaster and Plymouth).
The workload is low-volume and highly flexible, averaging 10 to 15 hours per month. This role is ideal for an experienced freelancer who already manages other clients and can seamlessly integrate a few odd calls and administrative tasks into their existing working week.
Key Responsibilities
Compliance Tracking: Monitor renewals and organize upcoming EPCs and Gas Safety Certificates to ensure the portfolio remains strictly compliant. Tenant Communication: Field occasional, ad-hoc phone calls or messages from tenants regarding property issues. Maintenance Coordination: Dispatch and coordinate general maintenance calls. You will be supported by our existing "Care Club" cover and a roster of pre-established local trades. Process Improvement: Work alongside us as we build in and integrate new AI assistance tools to streamline portfolio management and reduce manual admin.
The Ideal Candidate
Has proven experience in UK property management, lettings administration, or HMO compliance. Is highly organized and proactive about tracking compliance deadlines. Possesses a professional phone manner for ad-hoc tenant interactions. Is comfortable working flexibly and managing small tasks as they arise, rather than requiring rigid, set daily hours. Is tech-savvy and open to utilizing AI tools to improve workflow efficiency.
Budget & Terms
Hours: Estimated 10–15 hours per month. Rate: £20+ per hour (dependent on experience). Location: Remote (UK-based required for local property knowledge).
