You are an administration expert, but more importantly, you will do whatever it takes to get the job done. Challenge is your middle name. And being at service is your mission.
I need a superstar. Someone who will work around the clock if it means that my team and I meet a deadline. You are willing to try everything to help me get there.
About me? I run an instructional design business and career development program. Instructional design means analysing the audience for a training program, determining the constraints for their training and assessment and then designing a comprehensive program, including all delivery and assessment materials, to address that individual groups needs. My business has been in operation for 10 years. I am still growing and diversifying and chasing my ideal perfect customer. My business has grown, however, I need someone who can grow with it.
About you?
You will take my instructions thrown at you in a crisis and fill the gaps. You will ring me, text me, email me, stalk me until you can get a response so you can get unstuck.
You are new to Virtual Assistance (not new to Executive Assistance) or you have preferred to keep a small client list so you can be flexible when I am having a high impact week. I have regular work - every week and every month. But I have deadlines too - and like all online work people can sometimes be unreliable making you and I the likely finishers!
You like a challenge. You like figuring out how to solve a little puzzle or how to make a square object fit a round hole.
You can read and comprehend large amounts of text quickly, and you can re-word where necessary. You can also read, interpret and apply criteria. This will be tested during an interview.
You can write up to oen page of text to meet different business needs. You probably have experience with writing key selection criteria, blogs, reports, analyses and instructions. You can use templates to structure your writing. You can undertake research to write up to one page of text on an unknown subject. You can proof-read or edit content to address missing criteria.
You have initiative - if you know something was done the last time, but it hasn't been explicitly included in instructions this time then you will do it. If you think something is missing, you will flag it. If you don't have anything allocated to you for a particular day, you will get on with the weekly/monthly tasks scheduling these ahead to account for the busier times. You will let me know if you are not going to be available.
You are a streamliner! You like to take the instructions for a job you have just finished and set them straight up into procedures for future projects. You like finding new tools and using these to get the job done. You can use find and replace to make changes quickly, and you can know how to do this for numbers, digits, formatting, tabs, spaces and paragraphs. You create checklists of things to "check" for each document to make this process smoother over time. You are accurate. You do work with a strong regard for the finished product. You are willing to install and use Grammarly to review your own work. You can see where something doesn't look right or even or the same or relevant, and you can act upon that. You use track changes if you are not sure.
You love giving and receiving feedback. You are comfortable with completing a monthly report against the goals set so that we can keep track of the types and volume of work allocated. You will receive a document to consider before we get started this is where you will find the criteria you need to address - it is called a work-based plan. You will use this document to track any KPI's or measurements of performance, work allocated that was not included previously and to make notes about that work. We will undertake a monthly coaching session to go through the report and identify changes we both need to make.
You have a great computing setup with a current (2016) version of Microsoft Office - Word, Excel, and PowerPoint. You know how to use these, edit them, compare them, create new fields and tables and SmartArt, insert new pictures and update fields and styles. It is preferable to have two screens at all times - my work needs a lot of comparisons and copy and paste.
You are willing to use DropBox and you know how to turn on and off folders to save space on your computer. You have continuous internet access and a reasonable amount of bandwidth.
You have done a bit of everything before from getting a website fixed to working with people on social media, delegating tasks and contributing to content.
If you have read to the end then you will know I now need you to address each of the above criteria. You will need to provide examples of employers for whom you've undertaken these tasks before. You will leave me with no doubt that you are the person for me.
