We are a softball club in London. Currently the membership is between 150 and 200 members but our mailing list is more and we expect large growth in the next 3-5 years (50 members in 2007, 80 members in 2008, 150 members in 2009, with no marketing undertaken). As such we are looking to streamline our website to bring everything online.
We require our website to be able to do the following:
A members area for club members. They should be able to register, log in and view their membership, apply to a league team, apply to tournaments and see their playing history and what they have signed up to. Additionally they should be able to see their balance. They should have a personal home page within the members section which shows their league team and upcoming games and tournaments which they are scheduled to play in. An ability to upload a photo should also be available.
Application should include choosing user groups such as tournament player, social only. Applications have to be authorised by an administrator before having access and there should be states of application which an administrator can apply which will allow different access (pending, accepted (unpaid), accepted (paid), rejected).
Administrators should be available in a number of formats:
- league manager who can download league reports
- tournament manager who can download list of tournaments and who is down to play
- finance manager who can download list of who has paid what and what people owe
A secure committee section is required to store all committee documents and useful information (logos, AGM minutes, notes of committee meetings, etc).
Overall administrator account for IT communications manager who can change administrators (committee members change year on year), reset passwords, etc.
All administrators should have the ability to post news which will appear on the relevant members home page (by allocating it as league news, tournament news, social news, etc).
Administrators should also be able to add 'prospects' to the database as well as 'suppliers' and other useful fields.
Members and administrators should be able to email through the website. Members should be able to choose to email members or individuals. Administrators should be able to email members, individuals, certain user groups (for example, league emails, tournament emails, social emails, members moment emails).
Tournament manager must have ability to open a tournament for applications and close a tournament so no further applications, or removals from tournaments can take place.
Basically we want all the data to go into a database in the background which we can download and filter, amend, review.
We want to keep the existing colour scheme and general layout, although are happy to streamline the menus and to amend slightly, whilst retaining the look and feel as much as possible as this is what our members are used to.
We would like to retain our current hosting package if possible, which is Fasthosts business hosting. Please review this and advise if this would not be possible, or if there is a cheaper option available, and the pros and cons for this.
We are a not-for-profit organisation so do not have unlimited funds, however we recognise that this is quite a bespoke requirement. Please be realistic in your bids and set a final amount, contact me for clarifications. Please be as detailed in your bid as possible.
If possible we need something up and running by 1 March 2010. If this is not possible, please put in your bid when you could have this up and running by.
Please be very clear and precise in your bid, include all information (preferably without jargon as this will be reviewed by non-technical committee members).
