Note: the successful candidate will not have a long induction period, they will be thrown straight 'into the deep end' and must be willing to adapt and learn quickly whilst keeping organised and work succesfully whilst being trained.
The role:
We are recruiting a Promotional Staff Manager for Staff Warehouse, the role involves tasks such as:
STAFFING ROLE:
%u2022 Maintaining relationships with new existing staff
%u2022 Managing and improving the Staff Database
%u2022 Update new jobs onto staffwarehouse website message board
%u2022 Write, and email staff job briefs
%u2022 Recruit new staff update applicants to database
%u2022 Organise staff training days (campaign specific)
%u2022 Cross Reference staff invoices against actual days worked
%u2022 Organise staff transport if necessary
%u2022 Call and confirm staff before they are due to work
%u2022 Handle cancellations and find replacements
%u2022 Create staff shortlists for clients
%u2022 Book staff for upcoming jobs
%u2022 Arrange sufficient backups for upcoming jobs
FIELD WORK:
Also visiting the campaigns and overseeing staff on the field would be a big part of the role.
BOOKING PROCEDURES:
First contact the database via text and email and phone to check which suitable staff are available for the job. Send the client a shortlist of staff to choose from. Once the staff have been picked you would:
%u2022 Call the staff and let them know you will be sending a brief
%u2022 Email the brief and ask for a prompt reply
%u2022 Follow up with phone calls
%u2022 Text the staff the meeting location, time and contact numbers
%u2022 Call the staff the night before and hour before the job to confirm
BACK UP STAFF:
%u2022 We must always book at least 1 extra staff to be a reserve and show up to the campaign on standby
Find sufficient staff who will be backups on standby at home to
%u2022 Ask them to let you know if they become unavailable
%u2022 Brief them so that they are as comprehensive as the main team
LAST MINUTE CANCELLATIONS:
%u2022 Always prepare for the worst
%u2022 Usually 25% or 1 in 4 promo staff don%u2019t show up or cancel
%u2022 If they cancel last minute make a note on their profile
%u2022 Don%u2019t get upset, remain calm and collected
%u2022 Inform the client immediately
%u2022 Let client know we will replace staff within 1 hour
%u2022 Call back-ups
%u2022 If back-ups are unavailable revert back to database
KEEPING RECORDS:
%u2022 Always keep records of any cancellations or changes in staff
%u2022 Make notes of especially reliable or unreliable staff
%u2022 Ask staff and Event Managers for feedback about promo and make a record
IMPORTANT:
%u2022 Double and triple check your briefs, emails etc for errors
%u2022 Simple small mistakes can lead to major problems
%u2022 Always double check details i.e. staff email addresses
Inform accounts department of who worked and for how long as well as any expenses agreed.
WHEN THERE ARE NO JOBS LEFT TO BOOK:
%u2022 Update staff database
%u2022 Recruit in areas or specialities that could be improved
%u2022 Update staff message board on website
Also take initiative to improve staffing procedures.
THE IDEAL CANDIDATE:
Is very calm under pressure, excellent at problem solving, highly organised and has great time management skills. The ideal candidate will be great on the phone and will enjoy building relationships wth the promotional staff. The ideal candidate would also have good attention to detail and experience working with promotional and events staff.

SALARY:
Freelancing at £1400 per month, paid monthly to be reviewed for a salary increase and permanent role after first 3 months. Bonuses will be given for every staffing campaign that runs smoothly with good client feedback.
