Senior Events Coordinator
This was an external/field based role. Responsible for the onsite management for national training events, meetings and conferences for SesameÃƒï¿½Â’¢Ãƒ’¯Â’¿Â’½Ãƒ’¯’¿Â’½s customers. To attend and stay at the sesame learning events to ensure smooth running and successful outcomes.
Deliver a high standard of account management through building a strong working relationship with customers, product provider partners, event management companies, hotel booking agencies and individual hotel groups. Agreed excellent service standards with these suppliers to ensure a valued customer experience. To build strong relationships with key internal customers, which involved briefing staff at all levels, including senior managers and directors who were often speakers at conferences and events.
Responsible for pre-event, onsite and post event. Produce Project Plans for events. Plan and prepare for each event by working closely with the internal events team to agree on deadlines. Attend all team meetings, planning meetings, etc prior to the event to understand the events requirements.
Create and send update of management information to internal staff and supporting product providers.
Liaise with marketing and external production companies regarding any literature and equipment that is required for the events. Work closely with Marketing to create attention catching promotions to encourage high volume of attendance at all events.
Onsite liaising with Production Company/Technicians (certain events) and hotel to ensure the smooth running of the event - meeting rooms/exhibition areas are set up correctly (stage, sound, lighting, tables, etc), refreshments, timings, attendance figures, dietary requirements, etc. Make sure that all presentations are correct and ready for the supporting product provider partners.
Prepare for registration - delegate lists, badges, handset data, literature, feedback forms, CPD recording sheets and any additional requirements for the event. Meet and greet delegates, product providers partners and staff at registration.
Input results from the delegate feedback forms gathered. Record vital information on venue and gather any feedback from the supporting providers and staff. Deal with any queries or questions. Feed this information back to the internal team.
Produce final event analysis report for internal staff and supporting product provider partners.
Produce Management Information for staff and product provider partners Ãƒï¿½Â’¢Ãƒ’¯Â’¿Â’½Ãƒ’¯Â’¿Â’½ delegate lists, attendance, cancellation and no show figures, handset management, etc.
Promote forthcoming events at current events taking place. Proactively built a personal customer database of regular attendees to promote events and encourage attendance Ãƒï¿½Â’¢Ãƒ’¯Â’¿Â’½Ãƒ’¯Â’¿Â’½ via telephone, email or face-to-face.
For internal use was responsible for creating and collating the departmental procedure guide as part of the Risk Register.

Events Team Leader
Planned, managed and delivered an annual calendar of approximately 250 national training events, meetings and conferences for SesameÃƒï¿½Â’¢Ãƒ’¯Â’¿Â’½Ãƒ’¯Â’¿Â’½s customers. Attendance ranged between 10 - 250 financial advisers per session.
Managed an annual conference budget of Ãƒï¿½ï’¿’½Ãƒï¿½Â£200,000 to cover mortgage seminars and special product initiative events. Assisted in managing the regional and technical seminar budget of Ãƒï¿½ï’¿’½Ãƒï¿½Â£1.5 million.
Specific elements of the role included research, sourcing suitable venues, negotiating/agreeing costs, date planning, daily timetables, planning meetings, working with internal and external customers to ensure customer satisfaction.
Personally attend events to manage them on the ground. Ensured that customers left the event with a positive perception of Sesame, the venue and the speakers.
Designed and implemented the events booking process reporting system.
Developed management information systems to record number of attendees, number of Ãƒï¿½Â’¢Ãƒ’¯Â’¿Â’½Ãƒ’¯Â’¿Â’½no-showsÃƒï¿½Â’¢Ãƒ’¯Â’¿Â’½Ãƒ’¯Â’¿Â’½, delegate satisfaction and provide a feedback mechanism for internal customers and speakers.
Utilised management information to help internal customers with future planning and made recommendations for future events.
Managed a team of up to 4 event coordinators, monitoring their performance through regular reviews, 1:1 meetings and weekly team meetings. Implemented/re-enforced procedures to ensure high and consistent standards from all event coordinators.
Built a strong working relationship with external companies including event management companies, hotel booking agencies and individual hotel groups.
