I produce accurate, comprehensive and high standard set of minutes with outcomes and actions to be taken.
I provide cover for the Admin Team Leader.
I collate statistics for assessment waiting list and treatment waiting list for the whole service every month.
I generate meeting agendas of a high standard which reflect apologies, minutes, matters arising from previous minutes, standing items and specific requests from team members.
I possess high level of IT skills:
I use excel to maintain sickness and absence chart in the department.
I use Microsoft outlook to manage diaries, use of e-mail, set up a contact list and distribution lists.
I word-process correspondence, minutes and reports from manuscript and audio.
I participate in setting up new projects in the service.
I prepare power point presentations for clinicians within the team using the co-operate style guide.
I produce statistics reports with graphs and pie charts to the senior management group.
I prepare the following rotas every month and send them out a week prior to the expiry date;
Doctor’s on-call rota for telephone service during and after hours.
Senior Management Team rota for telephone advice during office hours.
I communicate effectively with colleagues, senior members of the team, clients and external agencies. I efficiently arrange for network meetings, workshops and follow up appointments with clients.
I am able to demonstrate sensitivity and discretion when handling confidential information and in responding to people in line with the company policy.
I have the ability to work in a team and provide cover when necessary for other administrators in the service. I am able to use my own initiative, work under pressure, manage and prioritise my workload independently.
