This wide ranging role has involved the start to finish implementation of three newly procured software systems to improve and streamline business processes and cost effectiveness. This has included two new rostering systems used to schedule the shift patterns and deployment of operational staff.
Key duties and Responsibilities:
Member of a small project team responsible for prioritising tasks and workloads to ensure effective introduction of new systems across the organisation with minimal impact on service delivery.
Experience of developing detailed specification and design documents for use by external software providers in application configuration
Leading and managing extensive user acceptance testing phases and ensuring robust recording and tracking processes are in place to report and resolve noted issues with providers prior to signing off installations and upgrades
Delivery of training and ongoing application support to a workforce of circa 900 employees including creation of effective fault reporting processes to action and capture all issues experienced by end users
Coordinate and complete activities related to the program and project management disciplines.
Perform a variety of project administrative duties, including disseminating project information to project stakeholders, monitoring the achievement of project activities on behalf of the project manager, developing and maintaining project deliverables under the direction of the project director, and gathering and inputting data into databases
Admin Manager :
Arrange logistics for meetings, conferences, trainings, and other project-related events
Organise project committee meetings and prepare the necessary materials, including reports, presentations, agendas and other meeting collateral
Accurately record key decisions and action items resulting from meetings.
Develop, manage, implement and maintain administrative an financial systems to provide comprehensive support to management teams
Manage develop and coordinate Unitary and station plans and monitor and report on progress against them
Plan and coordinate arrangements for meetings
Arrange events and projects to establish partnership links with the community and assist development of new projects and initiatives
Liaise with Media organisations to promote the work of the unitary management team and stations in supporting communities and fire safety initiatives
Manage administration support staff and coordinate work allocation and prioritisation
To manage and administer the unitary areas performance of the local area agreement objectives , recording outcomes and mapping them against delivery plans
