Job Title: Consultant
“Organize around business functions, not people. Build systems within each business function. Let systems run the business and people run the systems. People come and go but the systems remain constant”.
- Michael Gerber [E-Myth Revisited]
I have been helping clients, across multiple sectors, develop and improve their business management, commercial, finance, human resources, HSEQ, ICT, project controls, project management and supply chain management systems for over ten years whether that’s been time spent auditing processes, preparing procedures and templates, or implementing and developing SharePoint sites.
I understand the high cost of hiring and retaining more personnel is not, and should not be, the only way to improve, grow or expand a business. My focus is on unpacking the ‘black box’ of business processes providing clients detailed insights into the inner workings of their business and short falls in efficiency and productivity. Whether you are looking for a deeper understanding of how their business works or are required to continually meet ISO compliance standards I offer a “one stop” solution for all of your business improvement goals.
After uncovering the issues, either through discussion or through a more formal audit process, I’ll analysis the issues and recommend solutions which might include:
• Implementation of new technologies (E.g. Sharepoint, 365, Sage, Xero, Docusign, EDMS)
• Sharepoint and 365 development
• Preparation of policies, manuals, procedures and templates including PDF forms
It’s up to you if you would like to implement the changes yourself or ask me to implement the changes or manage the systems on your behalf.
No matter if you would like me to investigate the shortfalls in your invoicing process or if you need an entire department reviewed please don’t hesitate to contact me.
Some benefits of business systems to consider:
Clarity, Control and Consistency
Capturing procedures and providing the tools to execute those procedures from templates to hardware or software, gives personnel clarity about their responsibilities and the actions that need to be taken to achieve the best possible results.
Developing systems to manage a company replaces ‘seat-of-the-pants’ operations, employee discretion, and other uncontrolled variables with standardisation, accountability and consistency of results that permeate the entire culture of a business and create a truly integrated management system [IMS].
Standardization of project and corporate documentation increases the quality and usability of the documentation while giving your company an image of professionalism, consistency and trustworthiness.
Over time, in light of practical experience, new situations and changes in the environment such as technological developments mean that your business systems will need to develop to remain effective. Good business systems are designed to continually provide feedback on any issues that arise and can then be actioned quickly to remain effective. Integrating feedback into your systems means that your company will always be improving.
Systems at ISO Standards
Regardless of whether or not a client opts to pursue ISO certification systems will be in line with ISO standards giving clients confidence in their own systems and leaving the door open to pursue ISO certification at a later date.
Focused and Streamlined Operations
Continual improvement is an opportunity to look objectively at processes, particularly when they are captured in procedures and flowcharts where new or streamlined processes can be recorded. The discipline of developing a system demands focus on what the main purpose of the system should be. It is only when the objectives of a system are clear that a system capable of delivering the intended result can be designed.
Client / Customer Expectations
The efficiency and costs saving benefits delivered by business systems can be passed on to your clients or customers. A good business system will allow continually monitoring and analysis of client feedback so delivery of your services can be continually improved and inform improvements to the systems in the most effective way.
Time Management and Job Satisfaction
Good systems mean less of a requirement for supervision and queries. Fewer staff are need to spend on the most routine tasks. Personnel at all levels of the business from clerical to management have more time to address more interesting and value-added activities that grow the business. Systems also enable people to achieve much more than they could alone, making them more confident, efficient and effective.
Any business that wants to grow needs to be sure that all the necessary building blocks are in place, which means that key activities need to be scalable and replicable. Having one person doing a task in their own way is not scalable, but converting this into a system or process with steps that can be repeated by others gives the business the option to scale up.
Remote Working and Collaboration
Modernizing business systems with the right software and hardware increase capacity for collaboration and remote working across the globe and potentially realize opportunities that were previously out of reach.
The learning from the practical experience of one person can be embedded in the system to benefit all users for the future.
Induction and Training
A documented system makes it much easier to train and induct new staff into your business. It makes it clear what is expected of them and they don’t need to remember everything first time as they can always refer to the system manual.
Profitability and Reduced Costs
By increasing business productivity and performance, reducing costs, satisfying customer expectations, delivering consistent or better results every time, better internal organization you will cut your running costs and increase the profitability of your company.
Business Equity Value
Once your company has lots of systems in place, it instantly becomes much more valuable to an acquirer. That's because the acquirer knows your business will run smoothly after acquisition. They also know that new hires can quickly be added into the system so they can expand your business. Further, the systems you developed could help the acquirer expand their own business.
