.Tenant profiling system for Letting Agents, Property Management Agents and Private Landlords

General Flow Chart
The system will check the following details through a process of complete automation.
1. Employment Details or Accountant Verification
2. Character Reference
3. Previous Landlord or Letting Agency Details
4. Carry out a search of the tenant database for delinquent past tenancies. These delinquencies will be registered through the system by our subscribing agencies or private landlord.
5. Affordability calculator using a monthly rent to annual earnings ratio. Upon inserting the monthly rent and the annual salary of the applicant, the calculator will provide a answer i.e. Yes No Refer for guarantor

On verification of each of the above supplied parts of information provided by the tenant, the end report will be updated for the agent or landlord to view, either as report complete or information pending

Agents & Landlords input tenant data at the application stage using an online application form. This data is then submitted to the database
Key parts of the application form are then processed to establish the tenant’s profile
The first is employment status. This part of the process should be automated as much as possible to cut out the use for telephone or fax confirmation to the employer. This process would ideally send the details provided by the tenant to the employer automatically. A security protocol must be in place in order that the employer can login verifying his/her status is true and correct to the system via an email link, check and confirm the details provided by the applicant and mark as verified. Prior to the employer checking the verified field he/she must check a box with respect to “I have read and understand the terms and conditions therein”(yet to be drafted). These verified details will then be updated to the Agents/Landlords application pending area. At this point the final online report is incomplete and will show a status of pending further information.
General note on automated process
In the event that the employer has no email facility, or email links are deemed as an unreliable mode of communication for this employer. There must be an alternative method to confirm the employer “true status” (not fraudulent) and to verify the tenant’s employment integrity as correct. The alternative methods are yet unknown, however a faxed or text confirmation would be acceptable provided this verification is confirmed by a security protocol, and that this alternative method of confirmation can update the system reports directly, in order the end user can view the status of the application. With respect to text confirmation, a message will be generated within the system and the recipient will confirm by text verification of the details to our system.
In relation to the above automated process of checking the employment integrity, from time to time the applicant, (tenant) may be self employed. This will require confirming financial details with their accountant, to establish the applicant’s current and past annual earnings and that the applicant is considered stable and reliable. The email method for this should be reliable, as most, if not all professionals utilise email as their primary method of communication.
