Our annual conference is being held on Monday 13th November in a central London venue. The venue is almost adjacent to Pimlico underground station and a short walk from Victoria mainline and underground stations.

Attendees will be arriving from 8.30 so we would need you to be at the venue by around 8am to set up ready for this time. The conference will run from 9am to 5.30pm. We envisage the need for someone to be there up until the last break of the afternoon, which would finish around 4pm.

We wish to take this opportunity to get head & shoulder shots of all our staff, as its rare we all get together, but we would also like some general event photography too - this is up for discussion with the chosen supplier but you should be comfortable taking informal/reportage style shots in an unobtrusive way at a business focused event. Most of the head & shoulder shots would need to be taken during breaks/over lunchtime with some of the reportage style during the event sessions.

I am by no way a professional photographer but I have many years' experience of commissioning photography at a whole range of events, so have a clear idea of what we need. So I am looking to work with someone who is really comfortable working in this environment and can confidently manage people who will probably not want their photos taken, as seems to be the case whenever a camera is near in any work event! The photos should be business informal, so would like people smiling, relaxed etc - it may be that reportage works for all the shots we require - again for discussion. These are our staff and we are a people focused business, so their photos need to reflect our business as a good place to work as well as engage potential clients to want to work with the individuals in the photos.

These images are going to be used on our new website which is currently in development and due to go live during November. So, its important the provision of all the suitable digital images are able to be supplied by 16th November so we can upload them to the site asap after the event. If you can supply them more quickly then great! We are not looking for images to be cropped etc as this can be done in-house as we have competent Photoshop capability.

Lastly, and importantly, we are not a large business so do not have a huge budget for this project. However I am happy to negotiate for the right person.
