This is an innovative system that is smart and easy to use and super fast. The process from start to finish must be at the speed of lightning for the client. The selling point is convenience. For the application to be convenient it has to be user-friendly, interactive and yet easy to use and super fast. A grandmother in the village must be able to use this.
1. KYC Know your client
The first step in all matters is to do the client on boarding process. This is where we capture their full name address and do their ID check.
We then capture as much detail as we can about their opponent (the person they are taking legal action against). We ask whether it's a company or an individual and then we take the full name and address details. If it is a company is our app going to be smart enough to complete the details based on companies house?
In relation to the addresses people should be able to pop in the first line of their address and postcode and the address should come up.
We want to have as much automation as possible to make the users journey quicker. If we can auto fill, let's do that.
2. Standard documentation
Here's the easy part. We are going to have standard documents. These will be generated by responding to just a few questions. I outlined this in more detail over the last few weeks on WhatsApp, calls and emails.
The client is then given the option of either sending the documentation themselves or for us to send the documentation. In all instances copies of the documents I emailed to the client automatically.
3. Tenant evictions
Here is the interesting part. This is a five staged process, which I outline in detail below. It's getting information about our client and the tenant; issuing a 14 day notice; using an online platform to issue proceedings; using the same online platform to get a warrant for possession; and keeping all parties updated via the app and by email.
So, we act for the landlord or letting agent who are evicting a tenant. As part of the KYC we would ask whether the person instructing us is the landlord or someone who is acting on behalf of the landlord (e.g. an agent).
We would ask them to upload a series of documents (tenancy agreements etc)
We would ask them to input the tenants details. We would need a facility where they can put the dates in the months where the rent was due and was unpaid. This will then enable us to have a rent schedule of the arrears. We will need the rent schedule when we issue the notice and we will also need to be updated when we issue court proceedings.
The information provided above will help us prepare a notice to evict the tenant. The notice is a standard document. The only information I need to input would be the rent schedule the tenants name the address and the address of the property and how much there is outstanding are. We must ensure there are two months worth of arrears or eight weeks worth of arrears is rent is paid weekly. So, we simply ask the question. Simple.
The notice will give 14 days for the tenants to pay. We include two days for the posting. So, on day 16 we sent a reminder to our client asking whether the tenant has now paid the rent or not. Just a simple has the tenant paid rent Y/N. If the answer is no, we ask whether they now want us to issue court proceedings on their behalf. If the answer is yes, we then take payment and proceed to issue court proceedings. We can only issue court proceedings if there are two months worth of arrears, if the rent is paid weekly if there are eight weeks worth of arrears. Our system needs to be able to pick up on that based on the questions we ask.

We need our app to communicate directly with this platform and to populate all the information required electronically. They are just a series of straight forward questions asked and the rent schedule will need to be uploaded. The document must be signed electronically. That's it. Straightforward.
