Database management system (DBMS): Microsoft Access
Description of requirements/functionality: The role of the developer is to initially provide inhouse programming support for the existing database (Sprint 1) which has been scoped and developed by the Supply Chain Manager in accordance to current processes. As the database grows to cater to the end user process, there are a number of areas where the basic Access tools are not enough to complete a specific tasks, programming code is needed. The developer would need to understand the processes involved and program the code to achieve those actions, it is therefore required for the developer to attend our office in Camden, London for the 1st Sprint development and go through and understand the complex functions. The work will need to start on 05/05/15, with a plan to have Phase 1 complete and tested by end of the week.
In addition, the developer would also act as an adviser and advise best practice processes for the database development.
Specific technologies required: MS Access
Extra notes: The current database is in the processes of development with the majority of key tables present and are being transferred to the sql server. The query views have been prepared in line with the various user views required for the forms. The Form views are still being developed and require programming to complete the action buttons and quick access/manipulation of the Data.
GOAL
The aim of this project is to create a centralised user friendly datasource which caters for the needs of the purchasing function of the business. The primary deliverable is the user ability to easily copy paste/import basic data from large datasets in excel into the relevant screens on the database, and then Accesspulling out the related data (ie paste ProductCode and Quantity, access retrieves related info ie. ProductName, UnitCost, Currency, LineAmount, etc). The secondary objective is to ensure the database is used as a core tool for communication, allowing user to update dates and add comments regarding specific orders/shipments without having to search through hundreds of emails.
Once the initial requirements are addressed, there will be a need for further development to create the order proposal functions which allows the user to calculate what products to order and when.
OVERVIEW
To complete the database a sprint approach will be used to deliver the required functions. The tasks below will consists of subtasks and provide the developer with full insight (images and detailed descriptions) of the work required. This will be tracked and updated using a Jira web portal.
Sprint 1
1. Review current database structure and relationships
2. Make recommendation/changes to improve performance
3. Complete Multi User access (Login Menu) with login defaults
4. Complete the Order View form
5. Complete New Order Creation form
6. Create order reconciliation function with to match open orders/shipments to deliveries
7. Create process for splitting orders into physical shipments (many to many relationship)
a. One shipment may contain multiple full/partial orders
b. One order maybe split across multiple shipments
8. Create process of logging date changes, etc as automated comments and display on order form
9. Complete Pricing Matrix form, allow quick update of unit costs and constraints (ie MOQ)
a. Ensure the unit cost can be updated from multiple forms/queries
10. Create Query for average sales per parameter to calculate weeks’ stock in warehouse
Sprint 2
1. Create Stock order proposal function with automated supplier nomination
a. One product has multiple suppliers, priority goes to unit cost and leadtime
2. Create an RAG status based on immediate shortages and propose orders
3. Develop the live exchange rate function to allow user to select live data instead of fixed
4. Create dashboard reports
5. Create a customer returns function
6. Create CRM function to update customers on their delayed orders
7. Add mail/task functions to send customer emails and issues approvals, etc to other users
8. Improve overall speed and functionality
