Are we able to put a new function into SalesForce regarding proforma invoices?
When we generate the sales order it would be good if it flags up if it’s a proforma invoice and generates various triggers and automated requests.
The ideal situation would be:
• When we create a new ‘Account’ the payment terms must be automatically set to ‘Pro-forma Invoice’ without the permission to change this unless the Account is created by someone with the permission (Set the permissions to [TBC]). Please can you make this change. The terms must only be changed to credit terms if we approve it. The current field in ‘Accounts’ is called ‘Payment Terms EoM’. By typing 30 or 60 in this cell, it determines what figure is displayed on the Sales Invoice in the ‘Payment Terms EoM’ field, and also automatically calculates the ‘Date Payment is Due’ field. Please bear this in mind when making any changes to ensure the formulas still work correctly.
• We would also like an option to request payment terms are a certain number of days after the ‘’Date of Supply’ field date. Could you develop this new field so it collaborates with the ‘Payment Terms EoM’ field and doesn’t allow both fields to have entries.
• When you press ‘Generate order’ button on the ‘Quote’, we want a pop-up alert that appears stating ‘This customer is set to receive a pro-forma invoice. Please click ‘Proceed’ to continue, and a notification email will be sent to Accounts to raise the pro-forma invoice.’ If they click ‘Proceed’, an automatic email must be sent to [TBC] stating ‘Hello. Please could you raise a pro-forma invoice for this Sales Order. Thank you.’ In that email notification include the following fields: ‘Sales Order’ number link, display the ‘Account’ name and display the ‘Property’ name. This button must also automatically send a notification to the person who raised the Sales Order stating ‘You have requested this client is sent a pro-forma invoice for payment prior to providing our service.’
• However, if the person raising the Sales Order sees the pop-up notification for the pro-forma invoice but decides they need to change the customer to credit terms, they must click the other button on the pop-up alert titled ‘Request Check For Credit Account’. This box/page must state ‘What credit terms do you consider appropriate for this client?’ There must be a pre-populated option to select 30 days EoM, or a field to type in the ‘number of days’ EoM, or another field to type in the ‘number of days’ from ‘Date of Supply’.
• By clicking this button, it must send an automatic email to [TBC] stating ‘Hello. Please could you credit check this customer for me and advise whether we can provide them with credit terms’. The email must include a link to the ‘Account’ and the ‘Sales Order’, and must display the Property name, along with the requested credit terms days requested. Also send an automatic email to the person who created the Sales Order stating ‘Your request to change this customer account to credit terms has been sent to Accounts for checking. If you require urgent checking/approval, then speak with [TBC]. If they are not available then speak with [TBC] who can also credit check the company.’
• Once the client has been credit checked (the accounts contact who received the notification request) must be able to click on the email notification to approve, amend or reject to request.
o If the Accounts person clicks the ‘Open Account To Update And Approve’ button, it must open the ‘Account’ so they can edit the payment terms details. (Alternatively, if you can create the system so the Accounts person clicks on the link and the information automatically updates according to the email request details, that would be even better). If the terms are approved on the Account, an email notification must be sent to the person who created the Sales Order stating ‘Your request for credit terms with this customer has been updated to these terms: [Include the terms in here].’ Include the Account link, and include the Sales Order link, and include the Property name.
o If they clicks ‘Open Account But Approve Different Terms’ on the email then open the Account so the Accounts person can change the terms accordingly. If the terms are changed on the Account, an email notification must be sent to the person who created the Sales Order stating ‘Your request for credit terms with this customer has been updated to these terms: [Include the terms in here].’ Include the Account link, and include the Sales Order link, and include the Property name.
o If they clicks ‘Reject’ then automatically send an email notification back to the person who created the Sales Order stating ‘Hello. Your request for credit terms has been rejected.’. Include the Account link, and include the Sales Order link, and include the Property name.
Please advise whether you think this process will work or whether you can plan a better process to achieve these results.
