I am a purchasing consultant working on new hotel projects. I require a proposal for an online equipment and furniture database with various reports displayed online to replace my excel system. Please see attached doc for more details.
Database Description
I have 4 more more files which will help you in your proposal but I can only send 3.
Online equipment data base(OEDB) (min 50 fields) for the HOTEL equipment (minimum 4000 ) items. Data entered by me but later if required I will allow the suppliers to enter their own data.
Supplier database . Data entered by me but later may allow allow the suppliers to enter their own data.
Input sheets hotel configuration (to calculate quantities), currencies and summary of scope(ie what sections required eg guestroom, meeting rooms etc). Data entered by me but later on perhaps will be by Clients.
Reports
Reports will be saved in a password controlled area on my website. Client will register for password details or will be provided by me. Reports will be viewed by clients and their hotel staff who are not always IT literate. They must be intuitive, easy to use and understand. Should be flexible to allow for future report requirements.
Reports should have option of saving as an excel file or pdf/doc/jpg.
1. Preliminary Equipment List(PEL) for each new hotel extracted from OEDB tailored to the size of the hotel according to the configuration sheet(CS) , currency sheet (Cur) and the scope document (SD) . Viewed by Client
2. Final Equipment List(FEL) Client reviews quantities and specs and make manual adjustments and selections . This report will also have budget prices. The FEL is then used for bidding purposes if the price estimates are not up to date ie items/groups selected and sent by email to supplier for pricing. Viewed by Client
3. Budget Summary Report Viewed by Client with an option to manually adjust totals
5. Report Equipment list for a specific hotel group like Hilton. Viewed by Client
6. Individual product specifications sheet. There should be an easy mechanism to add specs(by me) when reviewing the PEL Viewed by Client when reviewing the PEL or FEL. The sheet should have an option to upload files/brochures .
