Help with zoho set up

Hi Bashirul

I sent an email to you before, but thought I would try again.
I have some Zoho requirements I would like to fulfil and therefore see if you can help. I have been running zoho mail successfully for 6 months

a) to have zoho CRM & zoho Mail set up correctly so things are automated, having the option to add all incoming emails to my (once set up) zoho database of 1) potential clients 2) Clients 3) Suppliers
b) I have an existing excel database of approx 2500 email addresses with information (approx 20 different fields ie event met at, potential etc) all of which I would like to be able to search under any of the fields ie type of car or location etc and
1) mailshot them offers
2) mailshot them a weekly or 2 weekly news letter
3) easily sort / search to identify my existing clients from the 2500 to mail separate offers
4) easily sort my "good potentials " from the 2500 so as to see actions and details
5) To set up email invoicing and a central way to store how many hours worked on a client, may be easier just to set up a field and update each hour?
My concerns are after dealing with zoho that apparently I can not add my data from excel so that zoho crm can use / see the info because of the way it was set up? A long as i dont loose an email histaory I am happy for zoho crm to be wiped and started again with a fresh import.
Being my sensitive database, how do you propose setting things up? Skype, or numbered procedures for me to follow? Are you able to talk me through how to set up etc over the phone or skype or is it quicker for you to have access to my data ?
These are my priorities for now in order, let me know how you feel you can help with this project.
