The company
This is a start-up company – now five months old.
We provide knowledge – in the form of conferences, conventions, training, seminars and niche publications to a range of markets (primarily the public and third sector). We have an executive team of founding directors who need to focus time on developing products, maintaining relationships, bringing in new clients in sponsors and partners and developing the business.
Our CEO has a high profile in the sector we are within. She requires ad hoc admin and assistant tasks. Our Consultant Director is currently responsible for developing new products and making high level sales as well as business strategy and growth.
What we need
We need the assistance of a virtual PA – mid level to senior in terms of experience. This will be to undertake any of the following tasks:
- Arranging meetings or phone call times for the CEO or executive team
- Copy checking letters, reports and other documents
- Preparing document layouts for reports, forms and other documents
- Writing letters and sending them out
- Organising and keeping digital records in an online collaboration software
- Returning calls when required to pass on information or get information to brief the CEO or executive team
- Researching potential suppliers and gathering quotes
- Preparing briefs on particular subjects or issues, whether about the competition, a potential product, partner or customer
- Sending out template emails to new contacts, sales leads for the executive team other
- Updating contacts and keeping a good contact management system
Hours
We would like to block book for one month an average of 10 hours per week to begin with. The contract will be awarded to who can best demonstrate:
1. Value for money
2. Experience in providing services of this kind
3. Ability to provide cover for these tasks in a flexible way (how many hours a day would you be available to undertake these tasks)
4. Ability to work to tasks immediately (how much notice is required to start on a task)
5. Credibility in the issue of trustworthiness and confidentiality (there may be tasks that require personal information been shared with you – do you have any evidence to allay in any risk concern to the individuals or company)
