Piano tuner needs help with admin, scheduling, customer calls

I'm a piano technician running a reasonably successful business on a sole trader basis in the South London area. However I'm beginning to realise that my lack of organisational and self-motivational skills are holding me back.
The structure of the work is that I receive calls and emails from my website, and schedule them in for the coming weeks. Most work is straightforward, sometimes there is upselling involved with extra work required. I can deal with that reasonably well.
Where I fall down is returning calls / emails promptly, and selling repeat work. Converting new customers to a regular tuning schedule.
My customer database is woeful at best. I'm currently using Outlook with business contact manager, but am open to suggestions on a package to use. Google Docs may be a better solution, this will sync better to my android smartphone.
Maybe you can come forward with a proposal on getting me on the right track to start with, and then supporting me as needed throughout the week, perhaps on a 5-10 hour a week basis.
You will need geographical knowledge of south london, an interest in Pianos would be a plus, a willingness to learn about them a definite. It's rather a unique position I think, and my business USP is quirky (i'm the Cycling Piano Tuner) so hopefully your personality will somehow reflect that. It's what I'm most worried about in making this transition - losing the personal touch of my business. It would be a great plus if you were geographically close, within the M25 ideally.
