Description

Assist on and manage all office administrative work to ensure that all Certis’ staff can work efficiently and productively. Assisting CEO on personal items will also be part of this job’s objectives
Reporting to: CEO
Interfacing with: Clients, Contractors and Business Partners
Job Description:
• Format reports and presentation files (using Microsoft office suite, word, Power Point, Outlook..etc)
• Prepare invoices (using freshbooks.com), send out to and follow up with clients
• Follow up on invoice payments with accountant.
• Book airplane tickets/ change reservations/ book hotels/ cars… (should be able to search and find best deals possible online)
• Help in maintain Tweets and blogs (must be very good in researching and in writing)
• Enter clients information in CRM system (Insightly and Mailchimp for Newsletters)
• Conduct pre-screening interviews on new hires as per Certis screening questions and enter answers in a spreadsheet
• Enroll and orient new employees and contractors
• Conduct research on various and adhoc topics
• Schedule business appointments with clients, and arrange for any visitors passes.
• Schedule personal appointments – doctors, hairdressers …etc
• Send out company holiday and x-mas cards and presents to clients and friends
• Print reports and sometimes mail documents
• Pay office and house bills, make sure no late payments.
• Receive inquiry calls from customers
• Send out follow up emails on CEO behalf when needed
• Remind me of birthdays, parties …etc and send notes on CEO behalf.
• Coordinate marketing activities with various team members.
Skills:
• Very good to Excellent command on Microsoft Suites
• Able to learn new software and proficient on internet applications, such as Linkedin, Twitter, blog ..etc.
• Strong research and writing skills
• Excellent communication skills
• Excellent customer service
• Excellent writing skills. m
• Strong work and business ethics
• Previous experience in working with CEO and as a personal assistant is a plus.
• Accounting knowledge is a plus but not a must
