General information for the website: Currently rebranding and highly automating our site and processes
Description of every page/module: We're moving over to a new company name and brand; we've already built the front end of the new site largely based on the old one. However, we'd like to add a fairly complex admin area including client, staff & project management. The current site uses Wordpress but we're willing to look at all platforms and options for the admin area.
Description of requirements/features: We need to allow clients to upload large files (audio/video) which admin then sees in a project list; admin then needs to add info to each job uploaded and allocate jobs to staff members, who should each have their own login page.
If admin mark a job as autoclaim, then staff should see those jobs in a jobs list and be able to claim them without admin needing to manually allocate.
Admin can set each job with number of audio minutes and rate per minute, allowing for staff pay data to be collated.
Staff and jobs should each be given a level 1-3. Staff at level 1 can only claim level 1 jobs, etc.
Staff should be able to upload completed work (in Word doc form). When they've uploaded the completed work, it goes onto a QC list for proofing.
Admin & staff should receive email alerts for all allocations/uploads/etc.
Clients can log in to their page at any time and see job status e.g. uploaded/allocated/being QC'd/completed/ready for download.
Client invoicing & payments (we use Stripe for debit/credit card payments which integrates with most systems, and also offer PayPal or bank transfer) - new clients pay before work commences, regular clients pay on delivery OR by monthly invoice, so this need a bit of manual input from admin.
All our staff are freelancers. We need end-of-week admin reports showing staff hours worked & wages due and ability for both staff & admin to download/print these in invoice form for their/our records.
Probably other things that I can't think of at the moment... I would need to discuss this with a prospective developer at length to ensure the entire remit is understood and can be done.
I imagine this will be an ongoing project for a while - the initial set up and then changing/adding things until admin, staff and clients are all happy with the system. Please quote for the initial set up for now, we can discuss ongoing charges at a later date.
Regarding budget: I have had people telling me they can knock this up for £50 (which is just silly) and at the other end of the spectrum companies who've quoted £2000 (which seems rather excessive); I'd like to see opinions from you guys on the possibilities and costs rather than trying to guess at a budget and getting it totally wrong. Thanks.
