Job Description
A very broad PA/admin role, taking on the duties of managing a very small portfolio of properties (6) all of which are in the canary wharf area. You will be a 'virtual mini lettings agency', working with me to find the best investment return for my portfolio. You'll be responsible for finding suitable tenants, credit checking, checking in etc. (so you will spend some time out of office) and have easy access to the Canary Wharf area - you will ensure that property related bills paid on time etc, and that all rents are paid up to date. You may therefore need to debt chase on occasion. You're role may then broaden into developing a larger portfolio. You may, at times, need to undertake other PA/VA duties not related to these properties.

E. S. on 13/08/2010 15:00If you are assuming that the VA can set up as a mini letting agency, can I assume that you have all the landlords insurances and covenenats, energy reports etc in place and that all the H&S etc will come under your heading and not mine.
Or would these be charged as business disbursements?
I am within easy distance of Canary wharf and have other clients there and tend to make pm (after rush hour traffic has died down) the time for on sites and meetings. Would this suit your plans?

Please could you answer a few queries prior to my bidding :
For all emergency out of hours calls, will the Tenants call your PA or an out of hours contractor.
What type of properties do you have?
Do you have an idea what hours per week are required and how often you will need your PA to be in London. Do you cover travel expenses ?
It would be cost effective to place the properties on free letting websites, however you may from time to time be forced to place an ad onto a chargable website, for example rightmove. Are you OK if required to pay the necessary fees.
Most agents charge Tenants for reference checking, new lets and much more. If agreeable definately worth setting up as part of agreement with Tenants.

Are you looking for coverage or will you have an out of hours contractor for Tenants wishing to report emergency repairs.

To clarify, "mini lettings agnecy" is used as a broad term to help bidders understand the multidsciplinary role this involves; from finding and credit checking suitable tenants to checking them out at the end of a tenancy and everything in between. Good People Skills, Flexibilty, Good Common Sense, & Problem Solving Skills are all important parts of the role.
