General information for the business: We are a small health clinic
Kind of development: Customization of existing program
Platform: Microsoft Dynamics
Description of requirements/functionality: We are currently using a new build of Microsoft Dynamics to provide our CRM requirements in supporting our work with clients which involves psychological healthcare. We provide counselling, therapy, educational testing and assessment, mediation, coaching and other specialist testing assessment services.
We have recently transferred our data to Dynamics CRM and nearly completed the customisations for most entities. We now require someone with experience of the system to provide a customisation of the appointments entity to allow us to book client appointments within their cases with the following:
Associate a Subject (from contact entity)
Date / Time of appointment
Associate one of the three consulting rooms available
Associate a service (Taken from our Service Subject Hierarchy)
Link an Associate (a non CRM user - custom entity)
Custom Fields - Invoice Reference
Appointment Result - Attended, Cancelled, Cancelled >48, Cancelled >24, Fail to Attend
Some of our client pay individually for sessions whilst some have medical insurance. We also request that the 'Entitlements' entity is amended to allow us to input a clients entitlements - such as 6 sessions of counselling or 8 sessions of EMDR and to link this with their appointments so that once the client has only one remaining session of counselling left an email / task is created (workflow) to notify the case manager (crm user) and associate (non CRM user)
The appointments should sync with CRM users outlook
We would prefer to have an appointments entity where case managers can easily book client appointments either through cases forms or contact forms or custom form. The booking system should be simple yet effective.
A second part of this job would require the developer to consider how to allow non CRM users to book or reserve a room for a client (send a request and initiate a workflow). To see the current room availability would be essential.
