We are a small but highly dynamic team that works in a start-up culture. We require an experienced, flexible and dedicated Executive Assistant to work closely with and alongside the Chief Executive to get stuff done.
The post-holder needs to be able to influence, build and manage productive stakeholder relationships, including those with the office team. Also, handle confidential information and record, analyse and efficiently work with data to account for our overall progress and success against budget spend.
This person must thrive on working in a small, fast paced team and be able to multitask and manage a range of activities to deliver measureable progress under tight deadlines.
Purpose of Role
• To provide expert personal administrative support and assistance to the Chief Executive
Main Job Tasks and Responsibilities
• Manage and maintain the Chief Executives' calendar, appointments and arrangements
• Prepare and manage email correspondence
• Monitor, screen, and respond to incoming communications
• Arrange and co-ordinate meetings, attending as necessary to take notes and pursue actions, acting on behalf of the Chief Executive from time to time
• Work within and maintain data systems including Salesforce
• Liaise with external suppliers and outsourced delivery agencies and partners
• Conduct research and collect data to prepare documents and reports
• File and retrieve documents and reference materials
• Create digital presentations and other documents
• Liaise with internal staff at all levels
• Review operating practices and implement improvements where necessary
Experience
• Experience of providing support at a high level
• Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and Salesforce
