Database management system (DBMS): Microsoft Access
Description of requirements/functionality: Company database, based online, subdomain of my website:
New / Prospective Clients:
- Contact sheet filled out on website, to be imported directly into database via email
- Contact details / event details
- Automatic follow up emails (1 week later)
Current Clients:
- When a new client is added / changed to current client a task list must be added to finalise the order
- Automatic contract with contact / event details, changed to PDF to be sent to client via email
- Report on outstanding tasks per client with delivery dates (TO DO List)
- Automatic email reminders for
• Payments,
• Scheduled shoots,
• Outstanding items to finalise their order
- Special requests from Clients
Service Providers (Employees): Report / Query to be sent to employees with:
- Client contact details
- Event details
- Services required
- Client special requests
- Other notes
Accounting System:
- Profit / Loss for client / project / event
- Budgeted / actual according to booking details
- Profit / Loss on whole company
- Targets
- Projected cash flow for upcoming year
Usability:
- User friendly interface
- Web based
- Clients / service providers can log in
- Users should be able to view outstanding amounts, which stage the project is in, etc
- Clients can send msg’s / follow up
