Job Description

We require general business administration services to be provided on a contract basis.

These will be provided by a self starter who does not require close management with the character to take the initiative.

Administration and technical skills required are listed below. Non UK bids are welcome.

Initially required for a trial period of 4 weeks for 20 hours a week. The role will be reviewed at this point.

Administration
-Administer Expenses.
-Issue invoices.
-Write letters as required.
-Record the time sheet information in a spreadsheet.

Accounts for Beyond Midnight
-Update and maintain the existing accounts spreadsheets.
-Setup and Migrate the accounts into the GNU Cash application.
-Setup separate tracking of accounts for Publishing Verses Consulting business units.

Management Reporting
-Provide director a weekly report including payments for authorisation.

Website
-Setup and organise website.
-Manage Website content.
-Monitor Web site forum.

Publishing Tasks
-Manage licensing solution.
-Record and chase publishing deadlines.
-Communicate with customers and deal with email support queries.

Other Tasks
-Perform other general administration tasks as required as they arise.
-Create Software license register speadsheet, maintain this.
-Research topics and write a report based on that research.

Later if the trial is a successful then the hours may increase. This will depend on workload. The role may expand as the working relationship develops.

Must be available to work at least partially in UK hours. Details to be agreed.

Must be prepared to work independently and without close supervision. The role could be performed by multiple people with replacements provided if acceptable to both parties.

Must have good written and spoken English ideally UK English. The ability
to speak Welsh would be an advantage.

A time sheet will be produce detailing what has been done in hourly units
no payments will be made unless. Work not included in the description will only be paid for if agreed in advance.

All rights to any work produced will be assigned to us.

Initial trail period workload is 20 hours per week for 4 weeks. This can be provided by 1 or more people or by a service organisation. The goal of the role is to remove administration from the director of the company i.e. me and reduce to a minimum the amount fo time I need to devote to this activity.

I have reviewed your job description and would like to place a bid for this project. However, since the description provides little details about the requirement, I have some initial queries which need to be answered so that I can place a well-informed bid for this project.
1. What is meant by Administer Expenses’? Will you provide a report on a timely basis and we need to administer the same? Will we be required to prepare a report out of it?
2. For issuing invoices, will you provide a template which we need to follow? How many invoices do you anticipate in a week?
3. You have mentioned Write letters as required’. Could you kindly provide more details on this? I mean, what type and length of letters you require?
4. The GNU Cash application you referred to, will you provide a training for this application?
5. Will you provide training for setting up separate tracking of accounts for Publishing Verses Consulting business units?
Website related
1. What is meant by Setup’ and maintain’ website? Will you require us to create a website for your business? If not, then will we be required to work as the administrator of your website? What do you mean by maintaining the website. Please clarify?
2. What is meant by Manage website content’? Does that mean we need to create content as well? Or will we be provided with administrator details of your website and we just need to update it as per your instructions?
Publishing related
1. Kindly clarify the Manage Licensing solution’? Do you sell any licenses to publishers?

Hello Nitin,

Hopefully this will provide clarification.

1). The administration of expenses is a task I currently perform myself. It involves taking all receipts in various currencies and entering them along with a euro pean central bank conversion rate into a master spreadsheet. These are allocated to a catagory. It currently takes me about an hour a week. I would have to work out a way to scan them or post them.
2). Invoice templates exist.
3).The letters may be on any subject from IT consutling, Publishing, Parish Council business, they could be on any subject and anything.
4).I havent yet insalled GNU cash, so that particular application isnt set in stone, it comes with a manual, there is no training budget.
5).Again there is no training budget. I can answer questions but am not an accountant, I have an accountant who could be asked basic questions.

Website:
1). I have the skills to create it but I really want to reduce my involvement to a minimum. So the less I have to do the more likely I am to use the service.
2). Content creation would be required, based on research or by sourcing content independently.
Publishing
1). We are launching a welsh language publication, this has involved buying software, images, scripts, translations etc. All of these need keeping track of. Once published online the subscriptions will need to be logged and managed some how, I dont know how yet, one task of the VA will be to research how.

The role as a whole is very flexible and might include booking me airline tickets, to working on a business plan. i.e. I need somoene flexible and willing to learn new skills without a large amount of time from me to get them going. The term is usually self starter.

Can you please clarify the fee? At the moment, it says £4-££10, £4 being, of course, well under minimum wage.

We welcome bids from all locations. Our goal is to find the best value resource. Not necessarily the cheapest.
